Title:  Administrative & Public Relations Coordinator

Department: INL Administration

Job Summary:

Responsible for all administrative and clerical activities in support of 
the daily operations of the Inland Northwest Lighthouse (INL).  Perform 
all daily front office activities.  Represent the INL in the community 
and participate in activities such as recruitment, marketing and fund 
raising.  Create and maintain relationships with community members to 
promote the INL, recruit employees and develop funding sources.



Responsibilities:

In conjunction with the Seattle Lighthouse administration and 
operational departments, the incumbent is responsible for the following 
activities:

Administrative

Perform all front office activities including answering telephones, 
managing emails, reviewing and distributing mail, meeting visitors and 
directing inquiries.

Provide administrative, organizational and clerical support including 
word processing, copying, filing, distribution of correspondence and 
documentation.  Maintain confidentiality of all information as 
appropriate.

May provide input to update web site.  Make recommendations for 
revisions, expansion and improvements to ensure accuracy of web content.

Prepare paperwork required to place employees on payroll, maintain 
personnel files and keep employee records up-to-date.  Disseminate 
approved forms per procedures.

Coordinate employment activities including preparing job ads, screening 
applications and interviewing applicants.

Coordinate training regarding INL policies and procedures including 
employee orientation, safety and other organization related trainings.

Perform accounting and data entry activity.

Coordinate purchasing of office supplies and maintenance of office 
equipment, ensuring best price and delivery are received.

May be responsible for coordination and organization of board and 
management related activities including meetings, mailings and 
memberships.

Maintain vendor and customer information.

Public Relations

May coordinate events including employee, fundraising, media and news 
coverage.

Act as main point of contact for local development efforts and 
coordinate with Seattle office.

Cultivate effective relationships with a wide range of stakeholders such 
as non profit organizations, government agencies, foundations, vendors, 
donors and customers.

Support donor recognition and other cultivation events.

Play a key role in hosting regular public tours of the INL.

May act as main contact for media and public relations, scheduling and 
leading tours, coordinating with vendors and cultivating media and 
business associations.

Communicate orally and in writing with board members, donors, employees, 
staff, job applicants, volunteers, and others to accomplish 
organizational goals.

Perform other duties as assigned.



Requirements:

Knowledge of Spokane area business and non profit community

4 year College Degree or equivalent work experience.

4 to 6 years of administrative experience preferably in a non profit 
setting.  Must be familiar with the Spokane area business and non-profit 
communities.

Experience supporting public relations and media related activities.

Experience providing adult level training and teaching in a professional 
or academic setting.

Experience supporting fundraising activities and working with donors.

Ability to represent the organization in a positive manner throughout 
the community.

Ability to prioritize work items and deal with them accordingly.

Ability to take initiative while working within overall plan.

Contribute appropriately to team efforts when working with staff and 
volunteers.

Ability to operate standard office equipment including calculator, fax 
and photocopy machines.

Strong computer skills: MS Word, Outlook, Excel, PhotoShop and Adobe 
PageMaker, and Power Point.

Excellent organization and prioritizing skills, as well as ability to 
multi-task.

Work with high standards for accurate detail and neatness.

Excellent verbal, written (Business English) and interpersonal 
communication skills.

Pay strict attention to detail and quality.
