FYI the below is an offer for a service I've been asked for at one point or
other and decided to make available if anyone has, or knows of anyone who
has, such a need.
As a BEP operator for years now I have configured Microsoft Excel
spreadsheets to create my P & L Statements to the SLA, otherwise known as
"operator's monthly report". In this report it shows me monthly totals of
gross sales, resale merchandise, other expenses, a balance or net income,
running balance of set aside, and a place for a description of each line
entry. At the bottom also is a year-to-date running balance for all these
columns plus the running percentage so one can have a snapshot of your
activities. It is a 12 page document one for every month and each month
having YTD info at the bottom.
I also use MS Excel spreadsheets to report my sales for commissions to the
university location I manage which contains just fewer than 80 machines.
Each machine is listed with beginning readout, ending readout, difference,
unit price, tests and refunds, gross sales, sales tax, net sales,
commissions, YTD (year-to-date) calculations in gross sales, net sales and
commissions paid. Also I have various machines broken out into subtotals
for the college for their accounting breakouts. You can see what any given
machine's sales are for the month or even for the year-to-date or even YTD
refunds given as well if you so choose, to help point out problematic
equipment. Needless to say this is quite an extensive 12 page spreadsheet
document which works great for giving plenty of information and it is
pretty flexible as well. Each year I ask my university folks if they like
any particular information changed or broken out and I've tweaked it
accordingly.
I also use Excel for simple tasks as calculating my orders based off of
current inventory and a par stock I keep, which can also be printed out and
faxed for placing orders. I will also print them out for taking physical
inventory each week.
I have had folks ask me about creating various spreadsheets for them in the
past and have decided to offer such a service. When I first started in
vending and before I delved into creating them on my own I paid someone to
configure a spreadsheet for me and maintain my commission report. To be
honest I was glad to get rid of that task. I just sent him my readings via
fax or whatever and he entered them in, messed with making sure it all
balanced out, printed it and sent me the copies for disbursement to the
three folks I had to submit the reports.
That being said I am offering the service of creating such spreadsheets and
if one also would like for a quoted fee I will maintain your monthly
"operator's monthly report", commission report or if you have another
spreadsheet need I can also see what I can do for you. The Fee would be
quoted based on the work needed to be done.
