Job Announcement
Title: Receptionist
Reports to: Human Resources Manager
Department: Human Resources
Hours: Full-time, M-F
Summary: Supports Lighthouse administration in various functions to
assist in overall organizational structure of front office.
Responsibilities:
Answers incoming telephone lines and routes to appropriate staff.
Monitors front office security door, checks visitors in/out and issues
Visitor badges. Greets all persons entering LFB front office directs
them accordingly, ensuring that any individual who may be entering the
Production area(s) wears safety glasses.
Pages persons when necessary and takes messages.
Responsible for unlocking various offices and the front door on a daily
basis. Makes coffee and picks up and distributes newspapers.
Fills out the 'in/out' sheet and distributes to other office staff.
Checks voice mail for night service and personal line.
Ensures the door bell is on so that persons entering the front door can
be heard. Turns on the main switchboard and takes off night phone.
Opens and distributes US mail on a daily basis, ensuring all checks are
given to Accounting Supervisor along with chart of account numbers
if/when necessary.
Keeps the job postings book up to date, distributes applications to
people interested in current open positions. Also maintains Request for
Transfer, Eye Report, and Direct Deposit, forms and assists in locating
any other forms that may be needed.
Schedules and records meeting schedules and meeting rooms for all staff.
Assists in setting up tours, (glasses when necessary, signing in,
badges, information packets, informing individuals about the Lighthouse
and what is done in the company etc.).
Labels, sorts and distributes job cards, Braille and other requests for
cards, time cards, and sorts and distributes bi-weekly time cards.
Assists in distributing checks to employees and vendors.
Informs people of upcoming meetings and gathers individuals for
meetings.
Trains backup receptionist and/or others needing training on the
telephone system.
Other duties as assigned.
Requirements: (equivalent education/and or experience may substitute)
* High School Diploma.
* Excellent written and verbal communication skills.
* One (1) year experience as front desk receptionist.
* Strong computer skills, Outlook, Excel, and Word.
